� Full time administrative professional needed for a small, fast-paced clothing company near downtown Dallas. This position requires a reliable, self-motivated, extremely organized and honest individual who has a strong attention to detail and a strong work ethic.
� Requirements include: a strong attendance, a great attitude, an enthusiastic phone voice, internal motivation to keep our customers happy
Duties would include, but not be limited to:
1. Office management
� 9:00 � 5:00 or 5:30 � answer phone and door
� Sign for packages, sort mail, check mailbox daily, check phone messages periodically during the day
� Manage inventory and order office and shipping supplies (paper, toner, shipping supplies, boxes, hangers, bags, tape, UPS and FedEx Supplies)
� Monitor upkeep of office; lights, air conditioning, heat, security system, etc; contact appropriate vendor when needed;
� Make out payroll time sheet based on time cards provided by hourly employees; Check the time clock periodically for accuracy and change it for Daylight Savings Time twice a year;
� Manage gift certificates for all non-profits;
� Be responsible for sending samples to non-profit events when needed;
� Phone maintenance � replace batteries, phones, etc. when needed
� Change outgoing message on days on inclement weather
� Manage employees days off � paid and unpaid � keep a log and update as needed; receive day off request forms and put on master calendar;
� Keep employees birthdays on a calendar and bring a cake in on those days. There will be funds provided for this.
2. Customer service
� Process orders � enter, fax to reps, file
� Receive all orders after each market; verify receipt of orders and confirm;
� Take phone reorders
� Drop pick tickets
� RMA�s and exchanges
� EDI labels: order, receive, proof, and distribute (both in house and order)
� Monitor and update spreadsheet for Fabric analysis
� Monitor and update ATS on style that have been cut
� Return Report monthly based on RAs issued and received
� Send photographs (high resolution when needed) and line sheets to stores as requested for websites, sales, and general information;
3. Sales
� Make labels for hangtags, Style # and Name; tag the samples;
� Ship samples to sales reps with an inventory; be the point person for these inventories; communicate with sales reps on returning samples and receive them against the inventory;
� Notify sales reps when styles are sold out, outed, etc. by email and monitor responses;
� Work with sample sales people to co-ordinate all in house and out of house sample sales; pull samples for the sales, monitor pick up and drop off dates, monitor inventory, receive payment for sales;
� Keep sales figures for each market by region;
� All preparation for trunk shows including but not limited to coordinating show dates, getting signed form from account, arranging any mailers in a timely manner, pulling samples and stock for show, preparing pick tickets, receive goods back, inventory, invoice;
� Commission Statements each month; Sales reports emailed to each rep on the 15th of each month;
4. Markets
� Create order forms for markets
� Assist with planning / execution
